CONDUCTING OFFICER PORTFOLIO MANAGEMENT & MARKETING (M/F)We are seeking a Conducting Officer responsible for Portfolio Management oversight and Marketing for our client. The role ensures that the AIFM's investment and fundraising activities are carried out in line with the AIFM's strategy, internal policies, and Luxembourg/EU regulatory requirements. The successful candidate will act as a daytoday senior manager, contribute to governance and Board reporting, and coordinate across internal and external stakeholders.
THE JOB:
- Oversee the AIFM's portfolio management framework, policies and procedures; ensure investment processes align with fund strategies and risk limits.
- Monitor investment pipeline execution, deal approvals, conflicts management, and portfolio Construction parameters; challenge the delegated Portfolio Manager and escalate where needed.
- Review periodic portfolio KPIs, investment pacing, and performance reporting; prepare CO reports to the AIFM Board/ Executive Committee.
- Coordinate with Risk Management and Valuation on risk exposures, stress testing themes, pricing methodology adherence, and model change governance.
- Maintain oversight of delegated Portfolio Manager: DDQs, KPIs/SLAs, incident logs, and onsite/remote reviews; track remediation.
- Own the AIFM's marketing communications control framework and signoff process; ensure clarity, fairness and consistency with legal documents.
- Owns the premarketing/marketing notifications and crossborder registration workflows (with support from counsels/group); maintain marketing registers and evidence. track CBDF/ESMA and local guidance; update procedures and training; maintain a marketing communications inventory and attestations.
- Oversee investor queries, claims/complaints handling and timely responses; ensure issues are recorded, investigated and reported.
- Hold Board mandates for certain GPs/SPVs related to the AIFs under management and discharge associated governance duties (e.g. meetings preparation, approvals/minutes, ad hoc signature requests, filings) in coordination with local Legal & Compliance team.
- Oversee corporate financial reporting and be responsible for regular CSSF/group financial and tax reporting.
- Prepare reporting packs and dashboards for the AIFM Board and CSSF interactions; drive actiontracking and remediation.
- Maintain/upscale internal policies (portfolio management, conflicts of interest, best execution, marketing communications, complaints, costs & charges, oversight of delegates).
- Contribute to internal audit and external audit followups; monitor regulatory developments and lead implementation projects.
- Work closely with Risk Management/Compliance/MLRO local teams, also with Legal& Compliance, Finance, Tax, Treasury, Reporting teams and Investment Professionals; ensure coherent endtoend controls.
- Oversee support service providers through KPIs collection, SLAs reviews and periodic onsite/remote reviews.
- University degree in Finance, Economics, Law or related field; additional professional qualifications (e.g., CFA/CAIA) are a plus.
- Min 7 years in alternative asset management (preferably private markets) with demonstrable portfolio management oversight experience.
- Strong knowledge of Luxembourg/EU regulatory frameworks relevant to AIFMs (e.g., AIFMD, CSSF 18/698, marketing/CBDF framework, ESMA guidance).
- Proven experience liaising with Boards, regulators, auditors and delegates; ability to produce concise, decisionready reports.
- Candidates already approved by the CSSF to act as Conducting Officer (dirigeant agréé) will be considered an asset.
- Excellent English; other EU languages are an asset.
