- Human Resources Generalist
Description
The Human Resources Generalist is responsible for executing the onboarding process for new hires of their assigned product line. This includes ensuring new hires have completed required pre-employment screenings, on-line training and onboarding documents, meeting with new hires to collect necessary documents and / or entering new hire information into the HRIS / UKG system.
Requirements
Essential Functions / Job Duties:
Initiation of New Hires
- Proactively reviews emails in the HR Email inbox to initiate onboarding process for new hires of assigned product lines within 24 hours of receipt of the email from the hiring supervisor.
- This includes ensuring that the new hire documentation received contains the required documentation, education, and certificates along with cross-checking the Calendly calendar to confirm that the hiring supervisor has scheduled the new hire for an appointment with the Human Resources Department within the next five business days.
- Meets with new hires to conduct an oral drug test, captures fingerprints, collects a copy of their I9 documentation, and initiates online background screenings (e.g., criminal, motor vehicle, etc.).
- Ensures I9 documentation is complete, accurate and documentation provided is acceptable per US Department of Homeland Security guidelines.
On-Boarding / Documents
- Keeps supervisors abreast of the new hire on-boarding process by dispositioning and updating UKG Pro / HRIS and / or via e-mail. Notes must be updated at a minimum of every 72 hours.
- Reaches out to the new hire via email and phone to ensure they are completing onboarding process (e.g., required training, signing electronic forms, etc.) as quickly as possible.
- Other duties as assigned.
Background Screening
- Monitors new hires onboarding process to ensure the new hire as successfully passed their background screenings (e.g., criminal online, DCF / level II).
- Receives badges from the Broward County School Background Clearance Department from biweekly courier, reconciles the badges against the new hires in process and distributes them to the designated YD representative.
- Ensures that Youth Development Staff badges are current and not expired by sending biweekly emails to supervisors summarizing whose badges are expiring within the next 60 days.
Data Entry / File Management
- Completes HR electronic checklists to ensure that all required steps are followed and that the electronic pdf personnel file Is In proper order.
- Performs data entry into UKG Pro / HRIS / Payroll database within 24 hours of new hire being cleared to begin working and in compliance with the biweekly payroll deadline.
- Updates online information (DCF Rosters, Y-Exchange / LINK with staff information), removing terminated staff biweekly ensuring compliance with DCF guidelines.
- Creates and sends pdf site files to Youth Development Department, if applicable.
- Steps in as liaison for annual audits.
All HR positions
- Assists with the day-to-day operations of the HR office including serving as back up to other Human Resources positions, as needed.
- Assist staff members with the completion of employment verifications, when applicable.
Participates In department audits. - During peak seasons (May- August), HR Team members may be required to work overtime).
- Ensures compliance with all YMCA of South Florida policies and regulatory agency guidelines.
- Provides excellent customer service to both Internal and external clients.
- Makes recommendations related to the new hire process to VP of Human Resources.
- Maintains knowledge of trends, best practices, regulatory changes, new technologies in human resources and employment law.
- Maintains confidentiality of all conversations with staff along with HR department information.

Qualifications, Skills, and Abilities / Position Requirements:
- Associates degree and / or minimum of 3 years of experience onboarding new hires.
Bachelor’s degree in HR, a plus. - Must be extremely detailed oriented, self-motivated with excellent follow-through.
- Excellent customer service skills.
- Excellent communications skills, both written and verbal.
- Emotionally mature, able to initiate, conduct and navigate difficult conversations with individuals at all levels.
- Must have high level of confidentiality, able to manage sensitive and confidential situations and documentation.
- Proficient in Microsoft Office products (Word, Excel and Power Point).
- Able to work independently and with minimal supervision.
- Excellent interpersonal skills; ability to relate to individuals at all levels.
- Must have time management skills and ability to prioritize.
- Excellent analytical skills.
- Knowledge of HRIS systems such as UKG, a plus.
- Bi-lingual (English & Spanish), preferred.
