Title: Payroll & Benefits Specialist

Reporting to:   Senior Manager, Human Resources

Job Summary:

 The Payroll & Benefits Specialist has a combined focus on payroll and employee benefit responsibilities with an eagerness for continuous quality improvement and a commitment to providing excellent customer service.  We are seeking a motivated individual who is customer service focused, accurate and thorough, enjoys collaborating on a team, taking projects from start to finish, and holds the qualifications below.


 Payroll/HRIS Administration (Paylocity)

  • Process bi-weekly and special payrolls for 100+ employees on time, accurately and in compliance with company policy and state and federal laws and regulations.
  • Verify timesheets and ensure all time off is accurately entered for the pay period.
  • Calculate leave of absence pay and enter third party sick pay for payroll processing.
  • Ensure accuracy of payroll wages, tax elections and benefit withholdings.
  • Process employee changes that affect payroll and benefits in Paylocity.
  • Assist employees and supervisors with payroll questions, resolve issues accurately and in a timely manner.
  • Liaise with payroll provider regarding payroll and benefit modules; including enhancements and maintaining continuous quality improvement.
  • Develop and maintain payroll instructions and recommend improvements or changes to improve efficiency.
  • Maintain payroll records and reports for bi-weekly, quarterly and year-end reconciliations.
  • Responsible for paid time off auditing, reporting and year-end reset.
  • Support the year-end payroll process, including review and approval of annual employee payroll documents.
  • Assist with the annual workers compensation audit and other payroll and HRIS responsibilities as assigned.
  • Maintain up to date knowledge of applicable state and federal laws pertaining to payroll.

Benefits Administration

  • Maintain the Human Resources benefits folders and the Paylocity benefits module with up-to-date information and documents.
  • Process employee benefit enrollments, changes, and terminations in the Paylocity benefits module and with other vendors as applicable, ensuring timely processing.
  • Assist employees and supervisors with benefit questions, resolve issues timely and accurately.
  • Assist with the annual 401(k) audit, review and upload employee 401(k) contributions and reconcile quarterly 401(k) contributions.
  • Benchmark benefit plans semi- annually and provide results to department.
  • Audit benefit invoices for accuracy and approve for payment; resolve discrepancies as needed.
  • Prepare various reports and audit benefits as requested.
  • Assist with the annual open enrollment renewal.
  • Maintain benefit records in accordance with the company’s policies and applicable federal and state laws and regulations.

Human Resources Support

  • Provide customer service support to employees by responding to emails and phones calls promptly and effectively.
  • Support the continuous improvement and maintenance of all internal human resources processes, procedures, documents, and templates.
  • Assist with planning and implementing company events, including setup and cleanup.
  • Complete other projects and tasks as assigned.


  • 2+ years of related experience with detailed knowledge of payroll and benefits.
  • Proven proficiency with HRIS, payroll (Paylocity a plus) or related software.
  • Ability to handle highly confidential information with appropriate discretion and sensitivity.
  • Must have excellent verbal and written communication skills and be committed to providing the highest level of customer service and responsiveness with a commitment to excellence.
  • Must be highly organized with a strong attention to detail and accuracy, proactive, resourceful, and possess the ability to prioritize and work well with others in a fast-paced environment.
  • Proven proficiency in MS Word, Excel, and Outlook.  Must have an aptitude to learn new software applications with the ability to generate and create reports, analyze and present data in a useable format.
  • Familiarization with federal and state employment laws related to benefits and payroll, including wage and hour laws.
