Overall Function
Under the direction of the AVP, US Region Operations, the Coordinator provides vital administrative support by developing and implementing efficient protocols for managing and tracking projects, expenses, invoices, and contract management, scheduling, and meeting and event planning for projects designed to help advance the goals of EDF's Political Affairs Team. The Coordinator proactively solves problems and independently troubleshoots and addresses issues that arise and possesses strong communication skills both oral and written. This is a challenging role requiring advanced organizational and time management skills, great attention to detail and the ability to respond to quickly shifting priorities. The successful candidate will have experience in managing high-level relationships, handling sensitive and confidential information, and executing multiple, complex projects simultaneously.
Key Responsibilities
- Administer contracts for consultants, including assistance in writing and processing contracts and grants and working with staff and consultants to ensure the fulfillment of contractual obligations and timely submission of invoices.
- Work with team management, staff, and mission finance to help maintain and monitor budget.
- Apply excellent organizational, communication, and planning skills by responding to requests for information, helping to coordinate activities and projects for the team and preparing correspondence and reports as needed.
- Maintain calendars and provide travel arrangements for program leadership.
- Conduct the administrative processes of the team, which include expense reports, travel arrangement, calendar management, budget maintenance and invoice processing.
- Follow through with finance staff to ensure payments are made and consultants appraised.
- Contribute to fundraising and stewardship objectives, including tracking and monitoring results and returns, preparation and distribution of reports and other written material.
- Manage other administrative tasks associated with staff, consultants, and interns, including logistics, office needs, onboarding, and telecommunications.
- Assist team staff and other colleagues to better communicate and coordinate on joint projects.
- Assist in planning and execution of event logistics.
- Participate in advancing EDF Organization, Effectiveness and Culture goals in which people from all backgrounds and experiences feel connected, included, and empowered to address the environmental and organizational challenges in alignment with EDF values.
- All other relevant duties and responsibilities as assigned.
- Carry out independent problem-solving and decision-making; conveying decisions to stakeholders in a timely manner.
Qualifications
- Associate degree or equivalent in a relevant field with at least 3 years of relevant experience. A Bachelor's degree or equivalent may substitute for up to 2 years of relevant experience.
- Creativity, attention to detail, and the ability to multi-task and get work done under pressure.
- Must have the ability to work in a highly collaborative and matrixed environment and the ability to build and maintain relationships across the organization.
- Excellent project support, contract management, and administration skills.
- Strong verbal and written communication skills.
- Ability and willingness to work as a strong team player and independently as a self-starter.
- Exceptional personal organization, attention to detail, and ability to manage and prioritize diverse, simultaneous tasks.
- Experience with budgeting, accounting and/or bookkeeping a plus.
- Ability to problem solve and overcome roadblocks with persistence and professionalism, while building stakeholder's trust.
- Proficiency in the use of PCs and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint); experience with Emburse and/or NetSuite a bonus.
- Interest in environmental advocacy is strongly preferred.
- Demonstrates self-awareness, cultural competency and inclusivity, and ability to work with colleagues and stakeholders across all cultures and backgrounds.
